Office Manager / Operations Coordinator (Remote) – The Funky Sponge

The Funky Sponge (formally The Villages Maid Service) is growing, and we're looking for someone who thrives on bringing order to chaos.

As our Operations Coordinator, you'll become the operational hub of our company - connecting customers, cleaning technicians, and leadership while ensuring every day runs smoothly across multiple markets.

This isn't a traditional administrative role. You'll own scheduling, customer communication, lead follow-up, reporting, hiring coordination, and continuous operational improvement. If you enjoy solving problems before they become problems and take pride in keeping things organized, you'll love this role.

What Success Looks Like

Within your first 90 days:

  • Leadership rarely needs to step into daily scheduling.
  • Customer communication is fast, friendly, and consistent.
  • Cleaning technicians know exactly where they need to be each day.
  • Every lead receives timely follow-up.
  • Operational issues are identified and resolved before they become bigger problems.
  • Leadership has confidence that day-to-day operations are running smoothly.

Your Responsibilities

Operations & Scheduling

  • Keep schedules current and organized in ZenMaid
  • Coordinate daily schedules and assign open jobs
  • Manage schedule changes, recurring services, re-cleans, and pricing adjustments
  • Quote new customers and schedule appointments
  • Schedule vacation rental services through client-specific portals
  • Ensure technicians have the information they need before every appointment

Customer Success & Client Support

  • Deliver exceptional customer service by phone, email, text, and voicemail
  • Handle scheduling requests, payment inquiries, cancellations, and service recovery
  • Proactively follow up with customers to ensure satisfaction and improve their experience
  • Process customer invoicing and maintain accurate customer records
  • Build long-term client relationships through outstanding communication

Sales

  • Quote new customers by phone, email, and SMS
  • Follow up on leads through our CRM
  • Confidently communicate our services and overcome customer objections

Team Support

  • Support the onboarding of new cleaning technicians
  • Coach and support technicians using customer feedback
  • Maintain clear communication with the team through Slack
  • Assist leadership with day-to-day operational needs

Reporting & Administration

  • Complete daily and weekly operational reports
  • Track service ratings, Google reviews, and customer trends
  • Maintain accurate CRM documentation and internal records
  • Help keep company SOPs organized and up to date

Hiring Support

  • Coordinate interviews
  • Schedule test cleans
  • Assist with onboarding
  • Maintain hiring pipeline
  • Help ensure hiring standards are followed

Technology

You should be comfortable using:

  • A desktop or laptop capable of heavy multitasking
  • Reliable high-speed internet
  • Google Workspace
  • Slack
  • CRM and scheduling software (ZenMaid experience is a plus)
  • Basic spreadsheets
  • AI tools such as ChatGPT for drafting emails, documentation, and problem-solving

Our Ideal CandidateRequired

  • 2+ years of experience as an Office Manager, Operations Coordinator, Customer Service Manager, or similar role
  • Excellent organizational and communication skills
  • Comfortable quoting, booking, and scheduling appointments
  • Highly organized with exceptional attention to detail
  • Calm under pressure and able to prioritize competing tasks
  • Strong problem-solving and decision-making skills
  • Tech-savvy and quick to learn new software
  • High level of integrity, accountability, and ownership
  • Friendly, professional, and customer-focused

Bonus Points

  • Experience in residential cleaning or another home service industry
  • Experience with ZenMaid, CRM systems, or scheduling software
  • Previous remote work experience
  • Canva or basic graphic design experience
  • Comfortable creating solutions when processes are still evolving
